We are seeking a dedicated and personable Admissions and Customer Care Officer to join our team, with a primary focus on teleconsultation to engage prospective families and promote school visits. The role also involves managing the front desk, providing a professional and welcoming experience for all visitors.
Role Overview
We are seeking a proactive, personable, and service-oriented individual to join our team as an Admissions & Customer Care Officer. This role is primarily focused on delivering excellent customer care (80%) and supporting key admissions functions (20%). You will be the first point of contact for visiting families and incoming enquiries - ensuring all interactions reflect BCVN’s high standards of professionalism, warmth, and responsiveness.
Key Responsibilities
A. Customer Care & Client Service (80%)
- Reception & Front Desk Duties
- Serve as the first point of contact for all visitors, providing a warm and professional welcome.
- Maintain the reception area to reflect the high standards of BCVN.
- Manage front desk operations, including inbound calls, walk-in visits, and email enquiries.
- Inquiry & Complaint Handling
- Respond to general enquiries and escalate complex matters to appropriate team members or management as required.
- Collaborate across departments (academic, pastoral, operations, etc.) to resolve issues or provide accurate responses.
- Support the Leadership Team in addressing complaints, tracking outcomes, and ensuring timely follow-up.
- Client Experience Monitoring
- Conduct periodic client satisfaction surveys and capture parent feedback across touchpoints.
- Identify recurring issues or improvement areas and compile monthly reports for management.
- Monitor and update procedures, tracking systems, and service guidelines to enhance overall effectiveness.
B. Admissions Support (20%)
- Assist with tour bookings, assessment day logistics, and event set-up to ensure a positive visitor experience.
- Support administrative tasks such as data input, CRM updates, and filing of admissions-related documentation.
- Provide backup support for Admissions Officers during peak periods.

- Confidence in engaging with families both in person and via telephone/email.
- Ability to handle sensitive situations with discretion and empathy.
- Detail-oriented with good organisational and follow-up skills.
- A team player who can liaise across departments to ensure client issues are resolved thoroughly and efficiently.
- Fluent in Vietnamese and proficient in English (spoken and written).
- Prior experience in front desk, customer service, administration, or education service environments is an advantage.
